Minutes of the Ordinary Parish Council Meeting held at The Village Hall, Shadoxhurst

on Wednesday, 11 January 2012 at 7.30 pm

 

PRESENT:                  Mr W Hollands (Chair), Mrs L Holmans, Mr R Buss and Mr B Howe

1.      APOLOGIES FOR ABSENCE

Apologies for Absence have been received from Miss M Smith (prior commitment), Mr H Clark (illness), Borough Councillor Hicks and Borough Councillor Davison.

 

2.      DECLARATIONS OF INTEREST

Mr Buss declared an interest in Planning Application No 11/01448/AS as he is a near neighbour.

i)    Updating of Declarations of Interest for the Code of Conduct

Councillors are reminded that they should update their Declarations of Interest with the Monitoring Officer if necessary.

 

3.    PUBLIC INTERVAL

The Members of the Public present did not have any questions or comments.

4.    ACCEPTANCE OF MINUTES OF PREVIOUS MEETING

Minutes 344 of the previous meeting were accepted and it was unanimously agreed that Mr Hollands should sign them.

5.    MATTERS FOR REPORT ARISING FROM THE PREVIOUS MINUTES

There were no Matters for Report.

 

6.    CHAIRMAN’S REPORT

The Chairman did not have anything to report that was not covered on the agenda.

7.   SHADOXHURST WEBSITE

Mr Buss will send some new photographs to Mr Stanley.

8.   MANAGEMENT OF VILLAGE HALL, PAVILION AND RECREATION FIELD

 Tenders for Cleaning and Caretaking

  It was agreed to invite tenders for the Cleaner.

 

Litter

The staff of Future Scholars have complained at the amount of rubbish they have to dispose of.

Those hiring the hall will be reminded that they must remove their rubbish from site, or they will be charged.

 

The Clerk asked Councillors to research the licences required for the Village Hall and report back at the next meeting. Information was put into the round robin for their perusal.

 

Councillors were asked to comment on the draft hiring agreement for Future Scholars which was placed in the Round Robin.

Confirmation of Precept 2012-2013.

The Clerk confirmed that she had requested £11440 from ABC for the forthcoming year.

 

She had also applied for the Concurrent Functions Grant of £900.

 

The total amount requested from ABC for 2012 – 2013 is £12340.00

 

Bank Mandate    

The Mandate will be dealt with once we have a full council.

 

Insurance

Resolution:  Councillors unanimously agreed to continue to insure with Aviva through Came & Co and to sign a new 3 year binding agreement with Aviva until 25 February 2015.

The Clerk asked for items for the next newsletter.

Mr Buss will carry out an inspection in time for the next meeting.
